Secret Iceland – Booking Terms & Conditions

By using our website or making a reservation through it, you agree that you have read and accepted these terms and conditions.

Secret Iceland may modify these terms at any time. Changes will be posted on our website, and the date of the latest update is at the bottom of this page. All buyer information is treated as confidential and will never be shared with third parties.

1. Tours, Cancellations & Liability

  • Secret Iceland reserves the right to cancel tours or alter routes and schedules due to weather, road conditions, or other unforeseen events.
  • Tours may require a minimum number of passengers. If not met, we may cancel the tour and offer a full refund or reschedule.
  • We are not liable for costs resulting from delays, weather, flight changes, sickness, accidents, natural disasters, or force majeure events.
  • Secret Iceland is not responsible for actions or failures by third parties such as hotels, airlines, or other operators.

Tour durations listed on our website are estimates and may vary. Guests are responsible for providing accurate contact details so we can notify you of changes. Unless otherwise stated, entrance fees, food, and drinks are not included.

2. Prices

  • All prices are listed in Icelandic Krona (ISK), include VAT, and are guaranteed only after full payment.
  • Currency exchange fees or card fees are outside our control.

3. Promotions & Discount Codes

  • Promo codes must be entered at checkout to be valid.
  • Discounts cannot be applied retroactively after a booking is made.

4. Pick-Up & Drop-Off

  • Many tours include pick-up/drop-off. Check your tour details carefully.
  • You are responsible for giving us your correct pick-up location in time.
  • If you miss the pick-up, no refund will be given.
  • Be ready at the designated pick-up time and place.

5. Travel Insurance

We highly recommend purchasing travel insurance that covers trip cancellation, accidents, and other risks.

  • Secret Iceland is not responsible for losses due to flight delays, injuries, illness, weather, strikes, or any similar events.
  • Outdoor activities such as hiking, caving, or glacier walks are taken at the participant’s own risk.
  • Clients are responsible for assessing their own physical fitness for the tour.
  • We are not liable for accidents, injuries, or death resulting from negligence or natural causes.
  • Insurance is your responsibility.

6. Weather & Conditions in Iceland

  • Mountain roads may be closed in spring due to thawing.
  • Icelandic weather is unpredictable and can affect visibility and safety.
  • Our guides prioritize safety and may change plans if necessary.
  • No refunds are given for poor weather or visibility if the tour goes ahead.

7. Cancellation Policy

Bookings made directly with Secret Iceland:

  • No prepayment is required. You pay on-site before the tour.
  • We accept VISA, Mastercard, and ISK cash.
  • If you need to cancel, just notify us in advance. No refund needed as no prepayment is taken.
  • We are flexible with changes to tour dates and meeting points (subject to availability).

Bookings through third-party resellers:

  • If booked through another vendor and paid in advance, their cancellation terms apply.
  • More than 24 hours’ notice: Full refund.
  • Less than 24 hours’ notice: No refund, unless rescheduling is possible.
  • No-show without notice results in 100% cancellation fee with no credit
  • Contact the vendor directly for cancellations or refunds.

Additional Terms:

  • If a tour must be cancelled or rescheduled due to bad weather or closures, we will do our best to offer an alternative.
  • Complaints must be submitted in writing within 5 days of the tour.
  • Force Majeure applies (see below).

8. Force Majeure

Force Majeure includes events beyond our control (e.g., natural disasters, war, strikes, pandemics, weather disruptions, etc.).

In such events, Secret Iceland may cancel or reschedule tours without liability. We will always try to offer alternative arrangements where possible. Travelers should ensure their insurance covers Force Majeure events.

Privacy Policy

We respect your privacy. Secret Iceland collects only the personal data needed to process bookings and provide service.

What We Collect:

  • Name, contact info, nationality, ID number
  • Travel group composition and travel dates
  • Payment details (when applicable)
  • Website usage data (cookies and analytics)

Use of Data:

  • To process bookings and offer services
  • For communication, updates, and promotions (with consent)
  • For statistical analysis to improve our website and services
  • We do not sell or share your data for marketing without consent

Data Storage:

  • Booking and payment data: kept for 7 years
  • Survey data: kept for 2 years
  • You have the right to access, correct, or delete your data

Cookies & Analytics

We use cookies to improve website performance, track usage, and show relevant ads (e.g., via Google Analytics and Google Ads). You can disable cookies or opt out of data collection. We do not collect more than necessary and do not link data to personal identities without consent.

Secret Iceland follows Icelandic data protection law (Act no. 90/2018). All credit card data is encrypted and handled securely. We reserve the right to update this policy as needed.
